People and training

The workforce register that joiner-mover-leaver evidence hangs off, and the training record an auditor asks for by name.

Updated

Personnel → People is your workforce register. It is not the user list: a person here may be an employee, a contractor or a service account, and most of them never sign into Vendorica.

New personnel asks for display name, email, start date, employment type, manager and initial groups. You can save and add another, which is the right mode when you are entering a team.

For anything more than a handful, import them instead — personnel is one of the registers the import wizard covers.

The register is tabbed by state: Active, On leave, Service accounts, Terminated.

  • Set on leave with an effective date, and back from leave later.
  • Mark as service account for non-human accounts. They are real entitlement-holders and belong in access reviews, but they do not take training or attest to policies, and mixing them into the headcount makes both numbers wrong.
  • Terminate with a leaving date. It is deliberately hard to do by accident — it asks you to confirm — because the leaver record is what your offboarding evidence is built on.

Personnel groups are how you address people in bulk: a group can be the target of a training assignment, a task-set owner (round-robin), or a scope for a review. Build them around how work is actually assigned, not around the org chart — a group nobody assigns work to is maintenance for nothing.

A person’s detail page carries an Onboarding/Offboarding tab. Personnel templates (Settings → Personnel) define the step sequences that run when somebody joins or leaves — laptop issued, policies attested, accounts created, accounts revoked. Steps become tasks with owners and due dates, so the run is visible while it happens rather than reconstructed afterwards.

The personnel hub shows this week’s template runs on the side, which is the view to check on a Monday.

Personnel → Training lists the programmes assigned across the organization, with per-assignment status — Assigned, In progress, Completed, Overdue.

  1. Assign. Use bulk assign to give a programme to a group or a filtered set of people, with a due date.

  2. Let people work it. Each person sees their own assignments under My training, and opens the microcourse or the external provider’s course from there.

  3. Read the drill-down. Open a programme to see who has completed it and who has not. Filter by status; chase the overdue.

Programmes come from a connected training provider or from microcourses authored in Vendorica. Either way the completion record is the evidence, and it can be attached to the control that requires awareness training — see Evidence.
